INTRODUCTION

In today’s fast-paced office environment, artificial intelligence tools like ChatGPT, Microsoft Copilot, and Canva have revolutionized the way we work. This course empowers office professionals to harness the capabilities of AI to streamline communication, automate repetitive tasks, improve document management, and enhance visual content creation. By the end of the course, participants will be equipped with practical AI-driven techniques to increase efficiency and productivity in their daily roles.

This course provides participants with practical and innovative ways to integrate AI tools into their daily work tasks. Through interactive modules and exercises, participants will gain the confidence and skills to transform office productivity with the support of cutting-edge technologies like ChatGPT, Copilot, and Canva.

 

COURSE OBJECTIVES

  • Generate research summaries, task lists, and action items using AI.
  • Leverage Microsoft Copilot for automation in Word, Excel, and PowerPoint.
  • Apply AI tools in document formatting, data analysis, and language correction.
  • Implement AI for effective knowledge management and summarization.
  • Optimize email communication using automated inbox rules.
  • Explore AI tools like ImageFX and Veo for visual content generation.
  • Design professional infographics using Canva with AI integration.

 

COURSE CONTENT

MODULE 1 : USING CHATGPT TO ASSIST DRAFTING, EMAILS, LETTERS, REPORTS
Crafting clear, professional emails using AI prompts

  • Structuring formal letters with tone and purpose in mind
  • Generating outlines and full drafts for business reports
  • Customizing output based on audience and context
  • Activity: Draft an official email and a short report using ChatGPT

MODULE 2 : USING CHATGPT TO PREPARE TASK LISTS, RESEARCH & ANALYSIS

  • Creating daily and weekly task schedules using ChatGPT
  • Automating research compilation from multiple data points
  • Analyzing trends and summarizing research findings
  • Creating FAQs or knowledge-base entries with AI
    Activity: Use Chatgpt to prepare work related tasklists

MODULE 3 : LEVERAGING MICROSOFT COPILOT IN WORD, EXCEL & POWERPOINT

  • Using Copilot to write and edit documents in Word
  • Automating calculations and insights in Excel
  • Generating slides and visual aids in PowerPoint
  • Real-world examples of Copilot productivity boosts
  • Activity: Use Copilot to draft document in Word and a PowerPoint presentation.

MODULE 4 : USING AI IN WORD AND EXCEL

  • Grammar checking, summarization, and rewriting tools in Word
  • Data cleaning, formula creation, and smart formatting in Excel
  • Using natural language to automate spreadsheet tasks
  • Integrating plugins and add-ons for AI in MS Office
  • Activity: Use AI tools to translate whole documents in Word

MODULE 5 : RESEARCH, SUMMARIZATION & KNOWLEDGE MANAGEMENT WITH AI

  • Using AI to search, gather, and condense large volumes of data
  • Creating executive summaries from lengthy documents
  • Tagging and archiving information efficiently
  • Building an internal knowledge base using AI
  • Activity: Reserch several work related topics topics

MODULE 6: USING RULES TO MANAGE EMAIL INBOX

  • Setting up auto-replies, filters, and folders
  • Creating conditional workflows for email automation
  • Managing high-volume emails efficiently
  • Integrating AI suggestions for smart inbox cleanup
  • Activity: Set up three inbox rules and test automation with sample emails

MODULE 7 : USING IMAGE FX AND VEO

  • Introduction to AI-generated images and video
  • Creating visual content for presentations and reports
  • Customizing prompts for better output in ImageFX and Veo
  • Ethical use of AI-generated visuals in the workplace
  • Activity: Create one AI-generated image and a short video concept using ImageFX and Veo

MODULE 8 : USING CANVA TO CREATE INFOGRAPHICS

  • Exploring Canva’s AI-powered features
  • Designing infographics from raw data
  • Enhancing presentations and reports with visuals
  • Exporting and sharing designs for collaboration
  • Activity: Design a workplace-themed infographic using Canva AI tools

 

METHODOLOGY

An adult learning approach using a combination of lectures and simulation, exercises, hands-on with close supervision by the trainers, presentation, management games & group discussions
